Setting up Software for your school or coaching? Here are 5 points you should keep in mind.
1) What function do you want to computerize
First List down the department where you can implement a software solution. Choose a cloud solution for student administration, so that students and parents can be kept well informed using the same software.
These days many automation tools are available, especially for classes and schools. You can automate anything from exams to admissions using these solutions. Yes, you read it correctly, exam automation will include setting and typesetting exam question papers, generation student report cards, etc. If you are conducting online exams for students using products like MyClassAdmin, questions, and the date of the exam are only what you have to select. Everything else is automated.
2) Check if the software you buy has easy import-export facility to send data to other software
This is very important. You might find software with many usages but having good import/export tools in place are very essential to begin using the software and to transfer data to other software so that you are not locked into using wrong software.
This will also make it easy for you to start using the software as soon as you buy it.
3) Check if it will really save your time and effort
The software may come packaged in attractive UI and it will be very desirable for you to buy it because of peer pressure and well-done marketing. But always take a trial or demo account and use it once yourself, to understand how much effort is actually required. Some Software may in fact increase the amount of effort, especially that asks you to enter unwanted details.
4) Staff should find it intuitive to learn or they will be reluctant to use it
If the software is not intuitive and your staff has to ask how to do even a small task on their own, they will be reluctant to use it. Also when you take a trial, make sure all functions are working as you require on your data set. The software may sometimes be marketed highly but the actual working may not be up to the mark. The site may hang, or work very slow at times. Make sure you look into these factors so the actual usage does not hamper your day-to-day working of your class.
5) Motivate your staff to start using it.
There is always a reluctance to change. The case with adopting software is not different. You and everyone at your institution have to be given some amount of time to get adjusted to the new working style. Motivate your staff and students to use the software. Make them understand how it will put processes in place, reduce workload and time for everyone ultimately.
